Map New Subscription to Autotask

When you purchase a subscription on CloudCockpit, it can be directly mapped to an Autotask Contract.
This ensures that no other steps are needed, saving users from having to visit the Subscription Mapping page later.
  1. A Subscription can only be mapped to one Autotask connection for the entire tenant. If a Reseller maps a Subscription, the CSP will be unable to map it, and vice versa.
  2. Requires having an Autotask connection already set up.
  3. It's also possible to perform Customer and Offer mapping using this flow.

Mapping Azure Plans to Autotask

  1. The unit cost and unit price for the Azure Plan service in Autotask must always be zero. Otherwise, you can't map that service.
  1. Mapping individual Azure subscriptions is not supported. Only the Azure Plans need to be mapped.
  1. Azure Plans can only be mapped with Autotask Contracts that have start date as day 1. 
  1. The Contract end date should also be set far in the future, because on each billing period we set the costs for the first day of the month and then we reset them to 0 for the next month to prevent overbilling.

Map New Subscriptions

1. When subscribing to an offer, click Submit Order.




2. Confirm with Submit.



3. If a connection with Autotask exists, you will have an option to Sync to Connection.



4. Choose the connection where you wish to map your new Subscription and click Confirm Sync.




5. After choosing the Connection, configure the following: 

Customer
Map the Customer to an Autotask Company.
Field will be pre-populated if it's already mapped.

Service
Map the CloudCockpit offer to an Autotask Service.
Field will be pre-populated if it's already mapped.

Contract
Map the subscription to an Autotask Contract
Available Contracts for mapping are those with:
  1. A start date prior to the subscription creation date.
  2. Billing frequencies (Contract Period Type in Autotask) that match the subscription's billing frequency.



6. Once all fields are selected, click the Confirm Sync button.

A confirmation window appears to inform that the operation is being executed in the background.
This operation will create a new Contract Service under the selected Autotask Contract.




Confirming Successful Mapping

To confirm that a Subscription was successfully mapped:

1. Navigate to Administration > Audit Logs in CloudCockpit.

2. Look for operations:
Create Order
Shows the status of the Order placement

Create Connection Offer Mapping
Mapping of an Offer with an Autotask Service. This operation might not appear if the Offer was already mapped.

Create Connection Customer Mapping
Mapping of a Customer with an Autotask Company. This operation might not appear if the Customer was already mapped.

Trigger Subscription Mapping To Connection
Mapping of the subscription with an Autotask Contract

3. Review the details of these entries to verify if the mapping was completed successfully.
