Map Existing Subscriptions to Autotask

Follow the steps outlined below to map existing CloudCockpit Subscriptions to Autotask Contracts. 
  1. Autotask Contracts specify a billing arrangement with a Company during the contract's duration.
  2. Recurring Service Contract is the most common Autotask Contract type for software licensing. 

Important Considerations

Ensure that each CloudCockpit Customer is accurately mapped to an Autotask Company.

Verify that all CloudCockpit Offers are properly mapped to Autotask Services.

A Subscription can only be mapped to one Autotask connection for the entire tenant.
This means that if a Reseller maps a subscription, the CSP will be unable to map it, and vice versa.

The Subscriptions that are visible for mapping are those associated within the context.
That is, if it's a CSP, the Subscriptions are the ones purchased directly between the Customer and the CSP. If it's a Reseller, the Subscriptions are the ones purchased between the Customer and the Reseller.


Mapping Azure Plans to Autotask

  1. The unit cost and unit price for the Azure Plan service in Autotask must always be zero. Otherwise, you can't map that service.
  1. Mapping individual Azure Subscriptions is not supported. Only the Azure Plans need to be mapped.
    1. You don't need to map Azure Reservations subscriptions. Their costs will be summed with the Azure Plans costs each month.
  1. Azure Plans can only be mapped with Autotask Contracts that have start date as day 1. 
  1. The Contract end date should also be set far in the future, because on each billing period we set the costs for the first day of the month and then we reset them to 0 for the next month to prevent overbilling.

Map Existing Subscriptions

Mapping will take into account the user's context, specifically:
  1. Cost: Based on catalogue prices
  2. Revenue: Calculated using the configured price margins
  3. Taxes: Are not included and must be handled by the Autotask Administrator

1. Navigate to Administration > Connectors in CloudCockpit.



2. Choose the Autotask connection and click on  to open the actions dropdown. Choose the Subscription Mapping action.




3. Search by the Subscription's Offer name. 
  1. Active Unmapped Subscriptions (whose Offer and customer are already mapped) will also appear in the page.
  2. Mapped Subscriptions that have a status different from active will continue to appear in the page. 
  3. Provider Subscription ID is shown under the Subscription's name.




4. For each Subscription, click the icon  and search for the Autotask Contract to map to the Subscription. 
  1. Searching for an Autotask Contract requires using the exact initial words of the Contract's name
  2. The Autotask Contract needs to be of type recurring services.
  3. The Contracts available for selection, are the ones which have a start date prior to the Subscription creation date and also their billing frequencies (Contract Period Type in Autotask) match the subscription's billing frequency.




5. After selecting the Contract, press Map to complete the mapping.
  1. A new contract service will be created asynchronously in Autotask. Note: If you do not wish to create a new contract service on the existing contract you can either create a new contract, expire the existing and contract and do the mapping for the new contract instead, or you may do this process for only new subscriptions.
  2. A contract service adjustment is also done to set the correct quantity of the subscription, taking in consideration the start date of the subscription.
  3. If the subscription has a promotion applied, the unit cost and unit price of the contract service will be set according to your promotion settings in CloudCockpit.




Confirming Successful Mapping

To confirm that a Subscription was successfully mapped:

1. Navigate to Administration > Audit Logs in CloudCockpit
2. Look for Create Connection Subscription Mapping operation.
3. Review the details of this operation to verify if the mapping was completed successfully.
